Soca Wkndr Terms & Conditions

These Terms apply to every Soca Wkndr journey, event and experience.

By making a booking, purchasing a ticket or pass, attending a Soca Wkndr event or otherwise participating in a Soca Wkndr experience, you agree to be bound by these Terms and Conditions.

For the purposes of these Terms, “Soca Wkndr”, “we”, “our” and “us” refer to the organiser of the relevant Soca Wkndr event.

1. Bookings and Payments

When making a booking, you may be offered the option to pay in full or through an instalment payment plan.

Where a deposit is required, all deposits are non refundable except where a refund is expressly required by applicable law.

Any remaining balance must be paid in full within the payment timeframe specified for the relevant Wkndr.

Where an instalment plan is selected, you are responsible for ensuring that sufficient funds are available and that the payment details supplied remain valid throughout the payment period.

If a scheduled payment fails, we may contact you and provide an opportunity to bring the booking up to date.

If the outstanding balance is not received within the required timeframe, we reserve the right to treat the booking as cancelled by you.

Where a booking is cancelled because payment has not been completed, a £50 cancellation charge may apply in addition to the forfeiture of the non refundable deposit and any other amounts that are non refundable under these Terms.

Bookings are not considered fully paid until all amounts due have been successfully received.

Incorrect Booking Information

You are responsible for checking that all names, contact information and booking details are correct before completing your booking.

A £25 administration fee will apply for each amendment requested after booking, where the amendment can reasonably be accommodated.

Some amendments may not be possible after tickets, accommodation allocations, external services or other arrangements have been confirmed.

2. Discounts, Promotional Codes and Loyalty Schemes

From time to time Soca Wkndr may offer promotional discounts, loyalty rewards, credits or promotional codes.

Unless otherwise stated, promotional discounts and loyalty benefits expire 12 months after the date of issue.

Discounts have no cash value and cannot be exchanged for money.

Discounts cannot normally be combined unless expressly stated.

Soca Wkndr reserves the right to amend, suspend or withdraw promotional offers at any time before a booking using that offer has been confirmed.

Any discount already validly applied to a confirmed booking will remain subject to the conditions that applied when the booking was made.

Where a booking is cancelled by the customer, any promotional discount associated with that booking may be forfeited.

3. Pricing

All prices displayed on our website, booking platforms, advertisements and social media channels are subject to availability and may change before a booking is completed.

Seeing or receiving a particular price does not guarantee that the same price will remain available at a later time.

Your price is normally confirmed once your booking has been accepted and the required payment has been successfully processed.

In the event of an obvious pricing, technical or administrative error, we reserve the right to correct the error.

Where such an error affects a confirmed booking, we may offer you the opportunity to continue with the booking at the correct price.

If you do not wish to proceed at the corrected price, the affected booking will be cancelled and amounts paid directly towards that booking will be returned.

4. Group Bookings

The person making a group booking is considered the lead booker and is responsible for ensuring that all members of the group are aware of and comply with these Terms.

The lead booker is responsible for providing accurate information for all attendees included within the booking.

If one or more members of a group booking cancel, amounts paid in respect of those individuals will be forfeited unless refund protection applies or a refund is otherwise required by law.

All deposits remain non refundable.

Changes to names or other booking information are subject to a £25 administration fee for each amendment.

The cancellation of one member of a group does not automatically cancel the remaining members of the booking.

5. Cancellations and Amendments by You

We understand that circumstances can change.

If you wish to cancel or amend your booking, you must notify us as soon as reasonably possible by emailing:

All deposits are non refundable.

Each amendment to a booking may incur a £25 administration fee.

Where you cancel without valid ticket refund protection, amounts already paid will normally be forfeited.

Where ticket refund protection has been purchased, any claim must be made directly in accordance with the terms and conditions of the refund protection provider.

Where TicketPlan is the applicable provider, claims should be submitted through the process specified by TicketPlan, including where appropriate:

Refund protection is a separate product provided under the terms of the applicable provider.

Soca Wkndr does not determine whether an insurance or refund protection claim will be accepted.

Refund protection must normally be purchased at the time of booking where offered and cannot ordinarily be added retrospectively.

6. Ticket Transfers and Resale

Tickets, passes and bookings may not be commercially resold without the prior written permission of Soca Wkndr.

Where we permit a ticket or booking to be transferred to another person, an administration fee may apply.

Any replacement attendee must comply with these Terms and any admission requirements relating to the relevant event.

Tickets obtained through unauthorised resale channels may be refused where their validity cannot reasonably be verified.

Soca Wkndr accepts no responsibility for tickets purchased through unauthorised third parties.

7. Non Attendance

Failure to attend an event does not create an entitlement to a refund.

Where you do not attend, arrive too late to gain admission or voluntarily leave an event, the value of the unused ticket or booking will normally be forfeited.

Where ticket refund protection has been purchased, you should contact the applicable provider to determine whether your circumstances qualify for a claim.

8. Changes or Cancellations by Soca Wkndr

We make every reasonable effort to deliver each Wkndr as advertised.

However, events of this nature involve venues, performers, suppliers, local authorities, transport providers, contractors and circumstances that may occasionally require changes.

We reserve the right to make reasonable changes to an event where necessary.

Minor changes do not normally create an entitlement to a refund.

Examples of minor changes may include a change of party venue to another venue of a reasonably comparable standard, a change to an event theme, changes to DJs, entertainers or performers, adjustments to running order and changes to event start or finishing times.

Where reasonably practicable, we will communicate material changes to attendees.

A significant change may include a substantial change to the advertised destination or a substantial change to the principal dates of the Wkndr.

Where Soca Wkndr voluntarily cancels an event for reasons that are not covered by the Force Majeure provisions within section 12, customers will normally be offered either a refund of the affected Soca Wkndr booking or a transfer to the replacement event or rescheduled date.

Where an event is cancelled, postponed or materially affected because of a Force Majeure Event, section 12 will apply instead.

9. Event Programme, Venues and Entertainment

Event schedules, themes, performers, DJs, hosts, entertainment, venues and running orders may be changed where operationally necessary.

Advertising material represents the intended programme at the time of publication but should not be interpreted as a guarantee that every advertised individual, activity, venue or feature will appear.

The unavailability of a particular DJ, performer, entertainer, activity or venue will not normally constitute cancellation of the overall Wkndr where the event can otherwise reasonably proceed.

We may substitute venues, performers or activities where necessary.

10. Behaviour and Conduct

Soca Wkndr is intended to provide an enjoyable, welcoming and safe environment for all attendees.

Guests are expected to behave respectfully towards other attendees, staff, venue personnel, performers, contractors and members of the public.

We reserve the right to refuse entry or remove any person whose behaviour, in our reasonable opinion, causes or is likely to cause danger, harassment, intimidation, excessive disruption, distress or unreasonable annoyance to another person.

The same applies to behaviour that causes or threatens damage to a venue, accommodation, equipment or other property.

Serious misconduct may result in removal from an event and cancellation of access to remaining Soca Wkndr events without refund.

Where your behaviour causes Soca Wkndr to incur reasonable costs, losses or charges, you may be responsible for those costs to the extent permitted by law.

Possession or use of illegal substances, weapons or other prohibited items may result in immediate removal and referral to the appropriate authorities.

Where your conduct at a previous Soca Wkndr event has created serious safety, behavioural or operational concerns, we reserve the right to decline a future booking.

If we decline a future booking after accepting payment, amounts paid for that future booking will be returned.

11. Admission, Identification and Venue Rules

Admission remains subject to the rules and licensing conditions of each venue.

Attendees may be required to provide valid photographic identification.

Where an event or venue operates an age restriction, guests must satisfy the relevant age requirement.

Failure to provide suitable identification where reasonably required may result in refusal of admission.

Venue security personnel may conduct security checks in accordance with applicable law and venue policy.

Attendees must comply with reasonable instructions given by venue management, event security and Soca Wkndr personnel.

12. Force Majeure

We shall not be liable or responsible for any failure, cancellation, interruption, postponement or delay in performing our obligations where this results from circumstances beyond our reasonable control.

Such circumstances are referred to in these Terms as a Force Majeure Event.

Force Majeure Events include, but are not limited to, hurricanes, earthquakes, floods, fires, storms, extreme weather conditions and other natural disasters; war, terrorism, civil unrest, public disorder and political instability; strikes, industrial disputes and serious labour shortages; epidemics, pandemics and public health emergencies; government action, restrictions or prohibitions; closure of borders, airports or ports; disruption or cancellation of transportation; failure of utilities, communications or essential infrastructure; venue closure for reasons beyond our reasonable control; and any other exceptional event that could not reasonably have been prevented or avoided by Soca Wkndr.

Where a Wkndr is cancelled, postponed, relocated, interrupted or materially affected as a direct consequence of a Force Majeure Event, no monetary refund will be issued except where a monetary refund is expressly required by applicable law.

Instead, the full value paid towards the affected Soca Wkndr booking will be recognised as a Soca Wkndr voucher or account credit of equivalent value.

This credit may be used towards any future eligible Soca Wkndr event, subject to availability and the booking conditions applicable to that event.

The Force Majeure voucher represents the value of the affected Soca Wkndr booking and does not include external expenses such as flights, hotels, transportation or other arrangements purchased independently by the customer.

We will take reasonable steps to communicate the circumstances and minimise disruption where reasonably possible.

Nothing within this section affects any statutory rights that cannot legally be excluded or restricted.

13. Voucher and Credit Terms

Where a voucher or account credit is issued by Soca Wkndr, the value of that voucher will correspond to the amount expressly credited to the customer.

Unless otherwise stated when issued, vouchers will remain valid for 24 months from the date of issue.

A voucher may be used towards any eligible future Soca Wkndr event, subject to availability.

Where the new booking costs more than the available voucher balance, the customer must pay the difference.

Where the new booking costs less than the available voucher balance, any remaining balance may continue to be used during the original validity period.

Vouchers cannot be redeemed for cash.

Vouchers cannot be sold commercially.

A voucher may be transferred to another individual with the prior written approval of Soca Wkndr.

Once a voucher has expired, any unused balance will be forfeited unless Soca Wkndr expressly agrees otherwise in writing.

The use of a voucher does not guarantee availability at any particular destination, event, hotel, venue or date.

14. Travel, Flights and Accommodation

Unless expressly included as part of the booking purchased directly from Soca Wkndr, customers are responsible for arranging their own flights, accommodation, airport transfers, transport and other travel arrangements.

We strongly recommend that customers do not make external arrangements until they are satisfied with the applicable booking conditions and cancellation policies.

Soca Wkndr is not responsible for independently booked flights, accommodation, transfers or other travel services.

Where an event is changed, cancelled or postponed, liability for independently booked travel and accommodation remains subject to section 19 and any applicable legal rights.

Customers are responsible for ensuring that they hold the passports, visas, travel authorisations and other documents required to enter the relevant destination.

Soca Wkndr is not responsible where an attendee is unable to travel because required documentation has not been obtained.

15. Travel Insurance and Refund Protection

We strongly recommend that all attendees obtain appropriate travel insurance for the destination and activities concerned.

Travel insurance and ticket refund protection are separate products.

Customers should ensure that any policy purchased provides the level of protection they consider necessary, including where appropriate cover relating to cancellation, illness, travel disruption, baggage and medical treatment overseas.

Soca Wkndr does not provide insurance advice and is not responsible for decisions made by an independent insurer or protection provider.

16. Health, Safety and Accessibility

Attendees are responsible for considering whether they are physically able to participate safely in the activities they choose to undertake.

Any relevant medical requirements remain the responsibility of the attendee.

Where you have accessibility requirements, we encourage you to contact Soca Wkndr before booking or as early as reasonably possible before the event.

We will make reasonable efforts to provide relevant information and assist with reasonable accessibility arrangements where these are within our control.

Some venues are operated independently and accessibility arrangements may therefore vary between locations.

17. Photography, Filming and Media Consent

Photography, video recording, audio recording and other forms of media capture may take place throughout Soca Wkndr events.

By attending a Soca Wkndr event, you acknowledge that you may appear in general photographs, crowd footage, video recordings or other event media.

Soca Wkndr and its authorised photographers, videographers, employees, contractors, media partners and representatives may capture event content for legitimate promotional, marketing, editorial and commercial purposes.

This material may be used across Soca Wkndr websites, social media, advertisements, printed materials, promotional campaigns, broadcasts, digital platforms and future event marketing.

To the extent permitted by applicable law, you grant Soca Wkndr permission to reproduce, publish, edit, distribute and display such material.

No payment, royalty or other financial compensation will ordinarily be payable in connection with the use of general event footage or photography.

Attendees will not normally have a right to inspect or approve general event photographs, recordings or promotional content before publication.

Where you have a particular concern regarding photography or filming, please speak to a member of the Soca Wkndr team. Where reasonably practicable, we will explain what arrangements may be available in relation to organised photography or filming.

Nothing in this section overrides rights that cannot lawfully be waived under applicable data protection, privacy or other legislation.

18. Third Party Suppliers

Some elements of a Soca Wkndr experience may be delivered by independent venues, contractors, entertainers, transport operators, accommodation providers or other third parties.

Where services are supplied directly by a third party under a separate contract with you, that provider’s own terms and conditions may apply.

Soca Wkndr is not responsible for the independent acts or omissions of third parties except where responsibility arises under applicable law.

19. Limitation of Liability

Nothing in these Terms excludes or limits liability where it would be unlawful to do so.

In particular, nothing excludes liability for death or personal injury caused by negligence, fraud, fraudulent misrepresentation or any other liability that cannot legally be excluded.

Subject to those protections, Soca Wkndr shall not be responsible for indirect or consequential losses that could not reasonably have been anticipated when the booking was made.

Unless responsibility arises under applicable law, Soca Wkndr is not responsible for independently booked flights, accommodation, transport, loss of earnings, personal arrangements or other incidental expenses resulting from cancellation, postponement, delay or changes to an event.

Where legally permitted, our total liability arising directly from a Soca Wkndr booking shall not exceed the amount actually paid to Soca Wkndr for the affected booking.

20. Personal Property

Attendees remain responsible for their own belongings throughout a Soca Wkndr event.

Soca Wkndr accepts no responsibility for the loss, theft or damage of personal property unless such loss or damage results from circumstances for which we are legally responsible.

Any lost property handed to the Soca Wkndr team will be dealt with in accordance with our reasonable lost property procedures.

21. Data Protection

Personal information will be processed in accordance with applicable data protection legislation, including the Data Protection Act 2018 and, where applicable, the UK GDPR.

We may use personal information where reasonably necessary to manage bookings, process payments, communicate important event information, administer the event, provide customer support, satisfy legal obligations and operate legitimate business activities.

22. Intellectual Property and Soca Wkndr Brand

The Soca Wkndr name, branding, logos, artwork, event concepts, promotional material, website content and other intellectual property belonging to Soca Wkndr may not be reproduced or used for commercial purposes without prior written permission.

Purchase of a ticket or attendance at an event does not grant any licence to commercially exploit the Soca Wkndr brand.

Nothing prevents attendees from sharing ordinary personal photographs or videos from their experience, subject to venue rules and the rights of other attendees.

23. Complaints

If you experience a problem during a Soca Wkndr event, please raise the matter with a member of the Soca Wkndr team as soon as reasonably possible so that we have an opportunity to address the issue.

Where the matter cannot be resolved during the event, complaints should be submitted in writing to:

Please provide your booking details and sufficient information for us to investigate the matter.

We will aim to respond within a reasonable period.

24. Events Beyond the Advertised Wkndr Programme

Only events expressly promoted by Soca Wkndr as part of the official programme form part of the Soca Wkndr event schedule.

Unofficial gatherings, after parties, excursions or activities organised independently by attendees, promoters or other third parties are not operated or controlled by Soca Wkndr unless expressly stated otherwise.

Soca Wkndr accepts no responsibility for independently organised activities except where required by law.

25. Severability

If any provision of these Terms is found by a court or other competent authority to be invalid, unlawful or unenforceable, that provision shall be treated as modified to the minimum extent necessary or removed where modification is not possible.

The remaining provisions will continue to apply.

26. Entire Agreement

These Terms, together with the booking information, Privacy Policy and any specific conditions clearly disclosed in relation to the relevant Wkndr, form the basis of the agreement between you and Soca Wkndr.

Where special terms are expressly provided for a particular event, those specific terms will apply alongside these general Terms.

If there is a direct conflict, the specific terms relating to the individual event will take precedence to the extent of that conflict.

27. Changes to These Terms

Soca Wkndr may update these Terms from time to time.

The Terms applicable to your booking will normally be those in effect when your booking is made, together with any changes that are required by law or expressly agreed with you.

28. Governing Law

These Terms are governed by the laws of England and Wales.

Any dispute arising from these Terms or a Soca Wkndr booking will be subject to the jurisdiction of the courts of England and Wales, subject to any mandatory consumer rights relating to jurisdiction that apply to you.

Nothing in these Terms is intended to remove or restrict statutory consumer rights that cannot legally be excluded.
